Free Plan Limits (2026)

Whimsical's Free plan is generous on the surface but has three hard ceilings that catch new users by surprise. The first is the 3 team boards limit. A "team board" is any board that more than one collaborator can access. Personal solo boards are unlimited, but the moment you invite a teammate to view or edit a board, it counts against the cap. Most users hit this within the first week of real team work.

The second ceiling is the 100 AI actions total quota. Each AI prompt — generating a flowchart, expanding a mind map, rewriting a wireframe — consumes one or more actions. Importantly, these 100 actions are a lifetime cap for the Free account, not a monthly refill. Once they're gone, every AI button in the editor goes dark until you upgrade to Pro.

The third is the 10 guest collaborators per board limit. Beyond ten guests, additional viewers must be added as full editors, which on a paid plan means more seats. For workshop facilitators or design reviewers running open-invite sessions, this guest cap forces an upgrade earlier than the board limit does.

Pro vs Business vs Enterprise

The three paid tiers are not stepping stones — they target genuinely different buyers. Pro at $10/editor/month (annual) or $12/month (monthly) is the right entry point for individuals and teams of 2-3. It removes the board cap, lifts AI actions to 500 per editor per month (which resets monthly, unlike Free), and adds priority support. Most solo PMs, freelance designers, and small consultancies live here permanently.

Business at $15/editor/month (annual) or $18/month (monthly) exists for teams of four or more that need admin controls. The 1,000 AI actions per editor per month is double Pro, but the real value drivers are SAML SSO, advanced security policies (IP allowlists, audit logs), and dedicated onboarding. If your security team requires SSO or you're spending more than 30 minutes a week reassigning seats, Business pays for itself. Otherwise, the 50 % price jump from Pro is hard to justify on AI quota alone.

Enterprise at $20/editor/month (annual only) adds 2,000 AI actions, custom contract terms, SCIM provisioning, and a named customer success manager. There is no monthly billing option — Enterprise is annual or nothing. The pricing page lists $20 as the starting rate, but actual contracts are negotiated based on seat count, deployment region, and procurement requirements.

AI Actions Explained

"AI action" is Whimsical's metering unit, and the count is the single most confusing thing about Whimsical pricing. Each time you ask the AI to do work — generate a flowchart from a prompt, expand a mind map branch, rewrite wireframe text, summarize a board — you consume actions from your quota. Critically, different operations cost different amounts of actions, and Whimsical does not publish a precise per-operation cost.

In our testing, a typical "generate flowchart from a 50-word prompt" cost 1 action. Asking the AI to expand a single node into 5 child nodes also cost 1 action. Larger generations — a full org chart from a meeting transcript, or a 20-step process flow — sometimes consumed 2-3 actions per attempt. Iterations also cost: if the first generation isn't right and you ask the AI to refine it, that's another action.

The practical implication: 100 Free actions translate to roughly 70-90 useful prompts if you treat them carefully. Heavy AI users will burn through Free in a single afternoon of exploration. Pro's 500 actions per month, in contrast, comfortably cover a daily-use professional. Business's 1,000 supports a team member who runs AI generations as a core part of their workflow.

Unused actions do not roll over. If you only use 200 of your 500 Pro actions this month, the other 300 expire — they don't bank for next month. This makes "AI action arbitrage" impossible: heavy months can't borrow from light ones.

Monthly vs Annual Billing: Which Is Right?

Whimsical's annual discount is a genuine 17 % savings on Pro ($120/year vs $144 if paid as 12 × $12). On Business, the discount is smaller — $180/year vs $216 monthly equivalent, or 17 % again. Enterprise is annual only, no monthly option exists.

The case for monthly billing: short-term projects, teams in flux, evaluating Whimsical against a Miro or Lucidchart pilot. Monthly lets you cancel without losing prepaid value. If there's any chance your team will downsize or pivot to another tool in the next quarter, the extra $2/editor/month is cheap insurance.

The case for annual billing: stable team, Whimsical is a confirmed long-term tool, and you have budget signed off. The 17 % discount compounds across seats — for a team of 10 on Pro, monthly costs $1,440/year vs annual $1,200, a $240 saving. That's two extra months of service. Annual also avoids the small admin overhead of monthly receipts and renewal alerts.

Who Should Upgrade (and Who Shouldn't)

Stay on Free if: you maintain 1-2 personal boards, run fewer than 10 AI prompts a month, and don't collaborate with more than 9 guests at a time. Free works indefinitely for occasional reference diagrams, personal notes, or solo brainstorming. The lifetime AI cap is the only real trap — if you burn through 100 actions in your first month exploring, you've effectively converted the Free tier into a one-time trial.

Upgrade to Pro if: you're a solo professional or 2-3 person team running more than 3 active shared boards, you use AI generation weekly, or you've hit the guest collaboration ceiling on a Free board. At $10/editor/month annual, Pro is one of the cheapest "remove all the artificial limits" tiers in the diagramming-tool market. Consider Enterprise if: you need a signed contract with custom terms, SCIM auto-provisioning from Okta or Azure AD, a dedicated customer success manager, or volume pricing for 50+ seats. Enterprise contracts also unlock data residency and custom SLA negotiations. Below 25 seats, Enterprise is almost never worth the complexity overhead — Business covers everything most mid-sized teams need.
